These Terms & Conditions govern the booking and delivery of photography and cinematography services provided by Our Wedding Diary (“we”, “us”, “our”) to the client (“you”, “your”). By confirming a booking with us and making the advance payment, you acknowledge that you have read, understood and agreed to these Terms & Conditions in their entirety.
1. Booking & Advance Payment
1.1. A 25% advance payment, calculated on the agreed package amount excluding the album, together with any applicable travelling charges, is required to confirm and reserve the booking.
1.2. The advance payment is non-refundable once the booking has been confirmed and this agreement has been accepted by the client.
1.3. The booking and the agreed dates will be considered confirmed only after receipt of the applicable advance payment.
2. Balance Payment & Album Payment
2.1. The remaining 75% payment for the services excluding the album is payable upon completion of the shoot.
2.2. The payment for the album, where applicable, is payable at the time of final album delivery.
2.3. Editing and final delivery of the photographs and videos will commence only after the required payments have been cleared.
2.4. No payment may be withheld on the grounds of delivery timelines or for any other delivery-related reason.
2.5. If the second payment has not been cleared, we will not be able to commence the editing process or deliver the final edited files.
2.6. The delivery timelines mentioned in these Terms & Conditions are calculated from the date on which the second payment is fully cleared. Any delay in making the required payment will correspondingly and significantly delay the delivery schedule.
3. Postponement of Wedding/Event Dates
3.1. If the wedding or event date is postponed, the advance payment may be carried forward to the new date only if Our Wedding Diary is available on the revised date.
3.2. If we are unavailable on the new date, the previously paid advance amount will not be refundable.
3.3. Clients are therefore requested to confirm any revised dates with us at the earliest possible opportunity.
4. Food Arrangements for the Team
4.1. During event days, particularly full-day events, the client may choose whether or not to arrange food for our team members at the venue.
4.2. Where food is arranged at the venue, our team members may have their meals alternately so that event coverage can continue without interruption.
4.3. If food is not arranged at the venue, the client must provide our team with a 45-minute to 1-hour break so that the entire team can leave the venue to have their meals.
4.4. Where the team has to leave the venue for food, we cannot guarantee continuous coverage during the designated meal break.
4.5. We do not require or insist that the client arrange food for our team. The decision remains entirely with the client.
4.6. However, the client is requested to inform us of their decision regarding food arrangements at the time of confirming the booking so that the team can plan the event coverage accordingly.
5. Travel & Accommodation
5.1. For assignments located more than 50 km outside Durgapur, travel and accommodation expenses for our team members during the event will be borne separately by the client and will not form part of the agreed package amount.
5.2. All applicable travelling expenses shall be borne in full by the client.
5.3. Travelling and accommodation charges are separate from the photography/cinematography package and are not subject to bargaining or adjustment.
5.4. For full-day assignments, including events such as the Sangeet and Wedding Day, we require one room at the venue for the team to refresh, charge equipment and ensure the safety of our equipment.
5.5. These requirements are applicable to weddings held both within Durgapur and outside Durgapur where the nature and duration of the assignment require a full-day presence.
6. Electricity & Lighting Requirements
6.1. A minimum 2000W electrical connection is required at all relevant stages/locations where our photographic lighting equipment is to be installed and operated.
6.2. The client is responsible for coordinating this requirement with the event planner, decorator, lighting team or venue management as necessary.
6.3. If an adequate electrical connection is not provided, we cannot guarantee the expected quality of photographs and videos.
6.4. Clients are therefore requested to ensure that the required electrical facilities are available before the event begins.
7. Photography & Edited Photo Delivery
7.1. The final edited digital photographs will be delivered within approximately 30–45 days, depending on the number of photographs and the scope of the assignment.
7.2. The delivery period will be calculated from the date on which the second payment is received and cleared.
7.3. Any delay in payment will correspondingly delay the delivery schedule.
8. Video Delivery
8.1. The videos included in the agreed package will generally be delivered within approximately 90–100 days from the date of receipt and clearance of the second payment.
8.2. Delivery timelines may depend on the volume and complexity of the project.
8.3. Payment delays will result in a corresponding delay in the delivery schedule.
9. Highlight Film
9.1. The Highlight Film will generally have a duration of approximately 4–6 minutes.
9.2. The Highlight Film will normally be delivered approximately one week before the delivery of the Full Video.
9.3. The creative concept and structure of the Highlight Film will be developed in consultation with the Chief Editor.
9.4. Suggestions from the couple are welcome and clients are encouraged to communicate any specific preferences in advance.
9.5. Clients should inform us before editing if there are particular people, moments or shots that they specifically want included or excluded from the Highlight Film.
9.6. Once the Highlight Film has been conceptualised and edited, changes will generally not be possible except for limited changes mutually agreed upon by both parties.
10. Full Wedding Film & Revisions
10.1. The final Full Wedding Film will generally have a duration of approximately 45–60 minutes.
10.2. Any music preferences for the Full Wedding Film must be communicated by the client within 10 days from the end date of the event.
10.3. After the client receives the final draft/cut of the Full Wedding Film, the client will be entitled to one round of changes.
10.4. Any additional changes requested beyond the permitted one round will be subject to additional charges.
10.5. After receiving the draft, the client must provide the final change requirements within 7 days.
10.6. If no changes are communicated within the 7-day period, the draft will be considered approved and final.
10.7. We will then proceed with rendering and final delivery of the Full Wedding Film.
10.8. Once the final rendering process has been completed, the project files may be deleted from our system. Accordingly, requests for changes received after the stipulated 7-day period cannot be entertained.
11. Delivery of Digital Files
11.1. All RAW photographs, final edited photographs and videos will be delivered to the client on a 2TB hard drive provided by the client.
11.2. The client is responsible for providing the hard drive required for the delivery of the files.
11.3. Editing and delivery of the files will be carried out after the applicable payment requirements have been fulfilled.
12. Album Delivery
12.1. Where an album is included in or separately ordered as part of the services, the album payment will be payable at the time of final delivery.
12.2. Depending on the agreed arrangement, the completed album may be delivered either:
- Directly to the client in hand; or
- Through courier delivery.
12.3. Album delivery will be undertaken after the applicable album payment has been cleared.
13. Client Acknowledgement
By confirming the booking with Our Wedding Diary and making the required advance payment, the client confirms that they have:
- Read these Terms & Conditions;
- Understood the payment and delivery requirements;
- Understood the requirements relating to food, travel, accommodation and electricity;
- Understood the editing and revision policies;
- Understood the applicable delivery timelines; and
- Agreed to be bound by these Terms & Conditions.
These Terms & Conditions form part of the agreement between Our Wedding Diary and the client for the provision of photography and cinematography services.
